This agreement is between you (and the organisation you represent) and Naxis Technologies, for use of the Naxis Assistant product. By starting a subscription you accept these terms; the specifics of your deployment are confirmed in writing in your order form, the Data Processing Agreement and the deployment's generated compliance manifest.
Your subscription. You are billed for the plan and number of seats you choose, in advance, each billing period, with VAT added where it applies. A seat is one person who can sign in; documents, sources, channels and questions are never metered or charged. Where a first-month pilot applies, no payment is taken today and the first charge falls due after the pilot; cancel before then and nothing is charged.
Cancelling and refunds. You can cancel at any time from your account. Cancellation stops the next renewal and your instance stays available until the end of the period you have already paid for. Amounts already invoiced for a started period are non-refundable except where the law requires otherwise.
Your deployment and your data. Your assistant runs as a private, single-tenant instance on your own domain, managed by us or self-hosted on your own servers as you choose; nothing is shared with other customers. Your content remains yours and is processed only to operate your assistant, under the Privacy Policy and Data Processing Agreement.
Payment. Card payments are handled by Stripe; we never receive or store your card number. You authorise recurring charges for the subscription until it is cancelled.

Checkout runs on Stripe and the card never touches us. On managed plans you pick your assistant’s address as you pay and the deployment builds itself, sign-in details by email. Self-hosting sends an installer instead: one command on a Linux server with Docker.

A seat is one person with an account on your assistant: someone who can sign in and ask, on the web or linked in a chat channel. You assign and remove people yourself in the console, any time; removing someone frees their seat immediately. Documents, sources and channels are never seats and never cost anything.
No. Plans are priced by seats and nothing else: questions, documents, sources and channels are not metered, and there is no usage figure to watch. The invoice changes only when you change the plan or the seat count yourself — never because of a busy month.
Adding one more person simply asks for a bigger plan first: nothing breaks, nobody is removed, and everyone already on a seat keeps working exactly as before. The next plan up is one click on your account page and reaches the deployment within minutes.

The extension is part of the same subscription. Beyond 100 people, or for special terms, we shape an agreement to you: request a quote and an engineer answers.
Yes. Pay the year upfront and the plan costs less: 15% off Starter, 20% off Team and 30% off Enterprise, extended seats included. The plans show the per-month equivalent; the invoice is one yearly payment. Self-hosting rides along at its normal monthly rate, and the 1-month pilot applies the same way.
Any time, from your account page. Upgrades, downgrades and seat changes reach the deployment within minutes and never touch your documents. Cancelling stops the subscription at the end of the paid period — the month, or the year on annual billing — and export and deletion of your data stay in your hands.
No. Managed means we run the machinery, not that we look inside: every client gets a single private deployment with its own database and document store, ring-fenced from every other client, and your documents never train anyone's models. Support access exists only with your explicit consent, granted per request from your account and revocable there.
Managed is the default: your private deployment runs at yourcompany.naxistechnologies.com or at your own domain, with hosting, updates and nightly backups included, live in minutes. Self-hosting puts the identical product on your own Linux server as a monthly add-on priced by plan — +€250 on Starter, +€300 on Team, +€500 on Enterprise and +€900 with extended seats — same automatic updates; a server with Docker and 8 GB of RAM is all it needs. Pick managed unless policy says your infrastructure.
Yes, on every plan, at no extra charge. A managed deployment answers at yourcompany.naxistechnologies.com from day one; whenever you want, point one DNS record at Naxis and attach your own name, assistant.yourcompany.com, from your account page. The certificate is automatic and both addresses keep working. Self-hosted deployments are on your domain by nature.
